Overview

The Centralized Leasing Team Renewal Specialist is experienced in all sales and leasing activities in the multifamily industry. This role will have a major impact in each community’s revenue and occupancy. The Centralized Leasing Team Renewal Specialist must promote efficiencies and competitive advantage by developing procedures and personnel skills across the multifamily platform. 

 

Responsibilities

  • Performs all lease renewal activities, prepares, and sends all renewal offers, and ensures lease renewal contracts are generated, signed, and executed within the required time per the Lantower renewal policy legal requirements.
  • Review renewals for the assigned time frame to ensure payment history aligns with standard operating procedures. Works closely with the Community Manager and Vice President, Property Management regarding any residents that have been identified as non-renewals.
  • Ensures residents identified for non-renewal have been approved by the VP and the non-renewal is generated and sent per federal, state, and local laws.
  • Sends renewal letters to residents and proactively contacts them via phone, email, and text to discuss and manage the renewal process. Answers questions and provides alternative solutions as needed to ensure resident retention meets or exceeds budgeted occupancy goals.
  • Engages with residents to understand their renewal needs, answer questions, and provide relevant information on product features and benefits. Discusses lease renewal terms and rates and sells the benefit of renewing over moving out of the community. Identifies opportunities to save a resident and provides options, within reason. Takes the appropriate steps to secure the appropriate approval needed to adjust pricing and/or offer alternative options as needed. Nurtures the resident relationship throughout the renewal process.
  • Works closely with the Community Manager, Revenue Manager, and VP to discuss renewal negotiations, including requests made by the resident such as maintenance repairs, apartment home upgrades, lease term length, etc.
  • Generates and reviews all renewal lease contracts/documents for accuracy. Ensures the new lease is signed and executed within the required time per the Lantower policy and matches the data posted in the Property Management System.
  • Ensures all rental items and related charges such as pet rent, storage, garage, etc. are transferred to the new lease and reflected in the Property Management System. Works with the Community Manager and Resident Experience Manager to maintain accurate records and ensure the Property Management System dashboard is current and up to date.
  • Partners with the Community Manager, Resident Experience Manager, and the Central Leasing Team Application Specialist to prepare the necessary documentation for inter-community resident transfers per the Standard Operating Procedure, and any mid-lease modifications made by the resident and onsite management team are accurately captured and documented in the resident file and the lease agreement and/or addendum. Ensures all parties are informed and all lease/transfer documents have been signed and executed and are accurately applied to the resident ledger in the Property Management System.
  • Tracks and reviews key performance indicators to evaluate the success of renewal efforts and frequently reviews Property Management System and related dashboards to identify and act on open tasks.
  • Builds and maintains productive relationships with Central Leasing Team colleagues and onsite team members to stay informed and abreast of community needs and performance requirements, including occupancy, leasing velocity, and other relevant items.

Qualifications

  • At least (3) years experience in property management, Multifamily is preferred.
  • Training experience – proficient in training methodologies, curriculum development, and soft skills (communication skills, critical thinking, time management, team building, etc.)
  • Must have “big” picture focus in both departmental and company strategies.
  • Excellent creative and conceptual thinking abilities.
  • Strong communication skills, both verbal and written.
  • Plan, develop, and provide training, demonstrations, on-the-job training, meetings, conferences, and workshops.
  • Computer literate with in-depth knowledge of MS office and web-based systems; visual aids technology.
  • Strong history of executing the vision of senior management,
  • Strong organizational, planning, project management, problem resolution, communication, presentation, facilitation, and influencing skills required.
  • Strong people management and leadership skills.
  • Superior organizational skills, attention to detail/level of quality, communication (written and verbal), and guest service skills.
